Job overview

About: The Modern Apprentice will have the opportunity to learn the key administrative roles in the surgery, including reception, secretarial work and management of medical records.

Main Duties and Responsibilities
Reception:
• Dealing with requests for appointments and ensuring patients are booked in with the most appropriate person
• Sign-posting patients to other services (e.g. local pharmacy) where appropriate
• Managing requests for house calls
• Arranging interpreters when required
• Greeting patients on arrival and ensuring they are checked in for their appointment
• Dealing with queries and explaining practice procedures
• Registering new and temporary patients
• Accurately issuing repeat prescriptions and ensuring that prescriptions are sent to the correct pharmacy
• Dealing with requests for test results and liaising with clinical staff when necessary
• Opening and distributing paper mail
• Ensuring that waiting areas are kept tidy and that posters and leaflets are up to date
• Securing building and setting alarm at the end of the day

Secretarial:
• Creating referrals in electronic referral system (SCI Gateway)
• Audio typing of letters and referrals as directed by clinicians
• Typing and updating documents
• Dealing with requests for medical reports and copies of clinical records
• Managing payments and invoices for private work

Medical records:
• Scanning and filing documents to the medical records
• Managing clinical correspondence and forwarding to the appropriate person for action
• Checking clinical email and forwarding messages to the appropriate person and/or saving messages in the patient’s medical record
• Coding information from clinical correspondence to the patient record
• Processing lab results
• Importing and exporting medical records
• Summarising and coding records for newly registered patients
• Organising recalls for tests and routine check-ups

General:
• General administrative tasks such as filing, photocopying, faxing
• Attending staff meetings and training sessions
• Understanding rules relating to patient confidentiality and ensuring these are applied at all times
• Covering for absent colleagues if required

What will I learn?

• SVQ Level 3 in Business Administration

• Industry related training

• Scope for further development into other areas of the surgery

What qualification or qualities are required?

• We are looking for a minimum of National 5s including Maths and English. Higher Grades in any subject or a qualification in IT or related subject is desirable.

• We are looking for someone who is positive, reliable, enthusiastic, empathetic and able to work with sensitive and confidential information. A desire to develop and pursue a career in the medical sector would be preferred.

• Computer literacy and ability to adapt to new computer systems, accuracy and attention to detail, ability to remain calm when under pressure, good organisational skills and ability to prioritise tasks, ability to complete tasks and meet deadlines, numeracy skills and friendly and helpful manner

• We are looking for candidates aged 16-19 years old due to funding restrictions. Applicants from care experienced or disabled persons up to the age of 29 will also be considered.
