We are looking for a young person aged 16-24 yrs ( up to age 29 yrs if specific criteria is met ) To assist Project and Account Managers with project managing and administrative tasks. To contribute to strategic goals and objectives.
The Office Assistant will work within the quality management system and take all steps necessary to assist with the upkeeping of our quality parameters and on-time delivery of our translation services to clients.
Along with working towards completing a Business and Administrations Modern Apprentice, you will be fully trained to carry out the following :
o Assisting Project and Account Managers with the handling of their projects where required
o Assisting Project and Account Managers with administrative tasks
o Assisting with the provision of written quotations in response to client requests ensuring that all likely costs are taken into account and using existing pricing rules
o Ordering translations / interpreting / DTP services from internal and external suppliers taking into account minimum gross profit required. Providing comprehensive instructions to suppliers
o Preparing documents for suppliers to ensure most efficient delivery format
o Formatting of files
o Ensuring translations are delivered on time and in correct format
o Checking completed translation for completeness, formatting, figures
o Format checking of all documents prior to despatch to the client. Checking translated version against source text and checking multiple languages against each other to ensure consistency of layout
o Proofreading/editing any English language deliveries
o Ensuring all projects are delivered to the client on time and in format requested
o Keeping Project and Account Managers updated throughout project lifecycle
o Using project management system for project administration
o Producing invoices and purchase orders
o Keeping orderly archive of digital files and keeping accurate and tidy project documents
o Ensuring quality standards are implemented and maintained
o Ensuring data security and proper use of IT systems and project management system
o Assisting with sales and marketing campaigns
o Providing information to finance team to assist with credit control and financial reporting
o Using suppliers offering the best price/quality service
o Contributing to the development of the company’s website with blog articles etc.
o Attendance at regular staff meetings
o Any other duties as requested
You’ll have a head start in this vacancy if you’ve completed a Foundation Apprenticeship in a related field. We’ll need you to provide evidence of your qualification and show you gained the relevant skills from your placement
Ideally you will have Higher English and Maths, but the main thing would be strong IT skills (Office packages like Word and Excel). Training would be given on any company specific packages, but we need someone who is not afraid of working with a computer.
