Job Description – Sales Administrator

Purpose
• The primary area of responsibility is to process all deals in line with Group, manufacturer and legal requirements.
Governance
• The sales administration function reports directly to the Accountant.
• The sales administrator is responsible for operating within the limits of the policies and procedures , manufacturer standards and legal requirements.

What will I learn?

Functions:
• Maintain accurate vehicle records, including deal files that comply with all Group and legal requirements.
• Process deals through the system in a timely fashion and in accordance with Group and legal requirements.
• Accurately order vehicles in line with dealership guidelines.
• Maintain relationships both internally and externally.
• Be an active member of the team by providing accurate information in a timely manner.
• Behave in a manner consistent with Group values.

Duties & Standards:
• Maintain accurate vehicle records, including deal files that comply with all Group and legal requirements.
• Ensure DMS is updated daily with accurate information for new and used stock.
• Assume responsibility for adopting and applying the financial policies and procedures in line with Vertu stock policy.
• Resolve any data discrepancies with line managers.
• Maintain a robust and secure deal filing system and carry out ad hoc checks as appropriate in line with AFRL and FSA requirements to ensure all standards are met.
• Perform daily and monthly audits of deal files to ensure that they are in line with Group standards.
• Assume responsibility for maintaining all documentation and records, and ensuring we are compliant with current laws and regulations.
• Process deals through the system in a timely and accurate fashion and in accordance with Group and legal requirements.
• Adhere to the deal sign-off checklist (on the Vertu stock policy procedure).
• Refer to the Group vehicle admin policy.
• Ensure all ancillaries such as warranties, service plans, roadside assistance and gap insurance are registered within the agreed timescales
Accurately order vehicles in line with dealership guidelines.
• Customer Order Management: ensure customers’ orders are progressed swiftly and processed in line with Group and Customer expectations.
• Obtain appropriate authorisation before ordering the vehicle.
• Ensure ordered vehicle matches customer and dealership requirements and if necessary obtain the appropriate signature.
• Be fully conversant with current manufacturers’ ordering systems.
• Maintain relationships both internally and externally.
• Customer Satisfaction: work pro-actively with the sales team to achieve Customer Satisfaction objectives and ensure that the customer is dealt with professionally in line with Manufacturer and Group standards.
• Sales Team Support & Communication: provide a positive and active support function to assist the sales team in achieving their targets.
• Develop and maintain all relationships in a manner in keeping with the company values at all times.
• Be an active member of the team by providing accurate information in a timely manner.
• Document Management: accurately manage and co-ordinate the distribution of documents within the Sales Department and with other departments.
• Demonstrate the ability to work to deadlines and adapt a flexible approach to meet the needs of the business.

What qualification or qualities are required?

You’ll have a head start in this vacancy if you’ve completed a Foundation Apprenticeship in a related field. We’ll need you to provide evidence of your qualification and show you gained the relevant skills from your placement

A passion for working with accounts. Minimum of Nat 4/5 in Maths / Nat 4/5 English
