A legal firm is looking for a school leaver to join the company to provide a professional and quality first point of contact for clients through the main reception area and via the telephone. To provide first class administrative support to all departments.
Main duties and responsibilities include to ensure that all visitors, are welcomed and dealt with in a professional manner and are met by the relevant firm representative within a reasonable time, ensuring calls are transferred and messages passed on accurately, facilitating the booking of the meeting rooms and ensuring that they are returned to normal, ensuring that the reception area is kept clear and tidy at all times, management of immigration documents waiting to be collected, management of staffs whereabouts, processing of card and cash payments in line with money laundering guidelines, booking and monitoring taxi use, sending faxes and distributing faxes and Edinburgh enquiries emails at reception, scanning of mail and sending to appropriate departments/ employees, File management for all departments such as filing, photocopying, scanning and general document management, paginating and alphabetically sorting legal documents, carrying out other tasks as required from time to time.
You will be fully supported through a Business Administration SCQF Level 6. Your time management, organisational skills and communication will all be developed as part of this opportunity.
You will have Highers in English, Business Management and/or Administration & IT.
You will have the ability to work to tight deadlines, very good organisational skills, good communication skills, ability to prioritise tasks, have good attention to detail.
