Job overview

Rock Trust are looking to recruit an Apprentice Administrator to work in our People and Business Support area. The post holder will work as part of a small team to provide reception and administrative services for the organisation. This involves tasks such as welcoming guests, responding to queries, minute taking, reporting, and maintaining databases.

You will be aged 16-24yrs (disabled or care experienced applicants up to the age of 29 are eligible to apply. Refer to the Equalities Act 2010.)

What will I learn?

As well as working towards completing your Modern Apprenticeship qualification in Business and Administration SCQF 6 , you will be trained to carry out the following -

• Work with recruiting managers on the organisation and set-up of
• Support recruiting managers with any issues on the HR System during
the recruitment stage.

• Organise with recruiting managers the interview slots.
• Ensure interview invites and requirements are sent out on time and
that responses are recorded.
• Organise and set up interviews via Teams or face to face.
• Ensure acknowledgement and unsuccessful responses are sent out on
time to candidates.
• Support recruiting managers with any issues on the HR System during
interview stages.

• Work with the People and Business Support Manager on completion.

• Set-up candidate file on the HR system.
• Organise ordering of equipment.

• Manage and maintain databases and process mail outs.
• Learning and development administration.

• Manage all aspects of any assigned grants.
• Minute taking including confidential meetings, where appropriate.
• Providing HR, volunteer and administration reporting for management
and board reports.

• Work with the People and Business Support Manager on completion
of off-boarding paperwork, including removing leavers from all
databases and systems.

General Administration:
• Responding to and recording queries.
• Recording and filing of mail.
• Organise events by booking rooms, food, organising speakers and/or
resource packs.
• Reception duties, such as answering and transferring calls and
welcoming guests.
• Assist in processing of basic financial activities (petty cash, PR’s, credit
card, invoices etc.).
• Ordering and monitoring of stationery and other supplies.
• Assisting in organising fundraising events.
• Managing allocated databases, ensuring information is inputted.

What qualification or qualities are required?

Ideally, you will be educated to National 5 in Maths and English.
Good IT knowledge.
Confident communicator with excellent interpersonal skills.
Excellent organisation and time management skills.
Excellent written skills and attention to detail.
Ability to work to tight deadlines under one’s own initiative, with a can-do attitude.
Work well as part of a team.
Knowledge of lifecycle HR processes and procedures from on-boarding to off-boarding.
Knowledge and awareness of GDPR.
