Job overview

Davidson Chalmers Stewart LLP are looking for a Support/Maintenance Assistant. You will join a small team supporting the business with all aspects of support, reception and some limited maintenance duties.

You will be providing support for the firm where you will be given the opportunity to learn a wide range of skills and become a well-rounded administrator.

Full training and support will be provided on use and management of all our digital systems as well as SVQ training support through our training partner Digital Partners.

Monday – Friday 9.00am – 5.30pm

A developing and varied role to include, but not limited to, the list of duties below.

You must be reliable, be able communicate effectively with a confident telephone manner, be enthusiastic and willing to learn, have the ability to work as a small team and have good organisational skills.

What will I learn?

1 - Relief reception duties, including break and lunchtime (normally 12.00 – 13.00) as scheduled in conjunction with the full-time receptionist

2 - Collection, scanning and filing of correspondence and documents, replenishing paper stock to all printers

3 - Collection of confidential waste for secure disposal

4 - Full mailroom duties – collection of mail from all departments, processing of all Royal Mail/DX and delivering to designated pick up areas. Maintaining mailroom stock.

5 - Responsible for ensuring all fire exits are opened and locked daily

6 - Assisting with maintaining & updating databases, AML, marketing, contacts etc

7 - Assist in the creation of new files and archiving of old files as requested

8 - Assist with the daily monitoring and process of Anti Money Laundering procedures

9 - Sourcing general mailroom supplies

10 - Provide support to Front of House Assistant when required

11 - Ensuring that all filing/titles are stored correctly, and the filing room is kept tidy allowing the easy retrieval of files

12 - Copying and binding client documents including plans sent to external providers

13 - Assist with any other support duties as and when required

14 - General office maintenance tasks – changing light bulbs, moving/ unpacking boxes & stock; shredding confidential waste, delivery & uplift of boxes, ensuring Front of House is kept clean and presentable and secure
